How Canadian Students Set Up a UCAS Account and Track a UK Application

Start your UCAS Hub account the summer before you apply

Set up your account through ucas.com well before your target deadline. Registration takes minutes, and an early UCAS Hub account gives you time to research courses, save favourites and draft your personal statement before deadline week.

Register as an individual applicant

Canadian high schools, CEGEPs and IB World Schools do not hold a UCAS buzzword the way most UK secondary schools do. Register as an individual applicant with your own email address rather than looking for a school code that does not exist for you.

Registration asks for your name, date of birth, home address and your education history to date. Once you finish this step, UCAS creates your UCAS Hub account, the single dashboard you use from your first course choice through to your final results.

Enter your qualifications

Add whichever of these applies to you: Ontario Grade 12 U and M courses, BC Grade 12 courses, Alberta 30-level courses, a Quebec CEGEP DEC program, or an IB Diploma with predicted scores. Choose the closest match from the UCAS qualification list.

If your exact diploma or course is missing from the dropdown, pick the nearest option and use the free text field to spell out the details, or contact UCAS Customer Support before you submit so your record matches your transcript.

Add up to five course choices

List each choice by institution and course code, with your intended start date. One application covers up to five choices, across any mix of universities and subjects, for one flat fee.

Medicine, dentistry and veterinary medicine or science work differently. UCAS caps you at four choices total across those subjects, and your fifth choice sits outside them. Map your five choices against this rule before you start filling in courses.

Write your personal statement and line up a reference

Every application needs one personal statement and one academic reference. UCAS has changed the personal statement format across recent entry cycles, so check the current required questions on ucas.com before you draft, rather than copying an older template.

Ask your school counsellor or IB coordinator for your reference early. Canadian schools write far fewer UCAS references than UK schools do, so give your counsellor a clear brief on what UCAS needs and enough lead time to write it properly.

Pay the application fee and submit

Pay the UCAS fee online by card, then submit your completed application. UCAS issues you a Personal ID at this point. Keep it. You need it every time you contact UCAS or a university about your file.

Track every decision in UCAS Hub

Log back into UCAS Hub to watch decisions land: a conditional or unconditional offer, an invitation to interview or an admissions test, or an unsuccessful outcome. Universities work to their own timelines, so your five choices rarely respond on the same day. Some answer within weeks, others take months.

Reply to your offers

Once you hold offers, pick one firm choice, the offer you plan to accept, and, if you want a backup, one insurance choice with different or lower conditions. Decline everything else through UCAS Hub so those places open up for other applicants.

Results day and confirming your place

UK A-level results land in mid-August, and UCAS updates UK qualification results automatically from the exam boards that day. Your Canadian results do not feed into that system.

Ask your firm choice university directly how and when it wants your final Grade 12, CEGEP or IB transcript, and send it the moment your school issues it.
